1. Vendor Application Details

Please review Vendor info packet  This contains more detail that we don't have space to go into here so if you have questions, please refer to this document!

Applications will be accepted through September 25, 2020 or until booth spaces are full. Once booth spaces are full we will place you on a waitlist in case a vendor drops out or is removed from the show. 

Booths range in price from $2200 for a full room, $1700 for a 10x16, $1200 for a 10x10, $800 for a 8x6 or $350 for an information only table. Booth sharing is allowed, please contact us for details. Other custom booth arrangements may be possible - contact us at citfvendor@gmail.com

All booths must have a minimum 50% focus on tea or tea related items in order to be in the show. No coffee samplings will be allowed due to the competing aromatics of coffee and tea (infusion made of coffee leaf is an exception). No incense or scented candles may be burned in the vendor rooms.

Payment for booths may be made in 50% increments with first payment being due within 30 days of notification of acceptance of application and the second by July 1, 2020. If you are applying and are accepted after July 1, 2020 your full booth payment will be due within 2 weeks of application or September 15, whichever comes first. Please note that the information tables do not have a deposit option but must be paid in full within 30 days of acceptance of application. 

Vendor cancellations prior to April 31, 2020, will be refunded full booth fee or full deposit amount, whichever was paid. Vendor cancellations between May 1, 2020 and June 30, 2020, will be refunded 50% of booth fee or 50% of deposit amount, whichever was paid. No refunds of any kind for cancellations by Vendor will be made after July 1, 2020. If Vendor is removed from Event for any reason, all deposits made up to that point are forfeit.

Terms:

“Event” denotes 2nd Annual Chicago International Tea Festival, October 31, November 1, & November 2, 2020

 “Host” denotes Taste All The Teas, LLC and American Tea Festival Association, Inc.

 “Venue” denotes Holiday Inn Mart Plaza, 350 W. Mart Center Drive, Chicago, IL 60654

“Vendor” denotes business name as provided on Vendor Application

“Instructor” denotes business or individual name as provided on Speaker Application

Conditions:

Section 1: Vendors

1. Vendor acknowledges receipt of Vendor Information Packet as downloadable pdf and indicates their willingness to abide by the guidelines set out including providing proof of insurance coverage when requested.

2. Vendor agrees that they are responsible for preparing their own tea for sampling and that no one with the Event or Host or Venue is responsible for ensuring Vendor's ability to sample teas to Event attendees including water other than filtered local tap water and equipment to prepare teas. 

3. Vendor agrees that they have obtained all necessary permits and licenses pertaining to business operation in the city of Chicago, state of Illinois.

4. Vendor acknowledges and agrees that they are responsible for procuring and maintaining any liability policy or insurance necessary to secure and protect Vendor, Vendor’s employees or agents and Vendor’s product.

5. Vendor hereby agrees to indemnify Host and Venue and hold both harmless from any actual, punitive or consequential loss or damage whatsoever that the Vendor might incur by reason of its location upon the Venue property, attendance and/or participation in the Event, or any claim, damage, injury or issue arising out of Vendor’s attendance and/or participation in the Event, known or unknown at the time of execution of this Agreement.

6. Vendor acknowledges and agrees that neither Host nor Venue is providing any form of security for the Event beyond what is normally provided on the Venue grounds.

7. Vendor will be solely responsible for all costs associated with their participation in the Event.

8. Host and Vendor agree that Host will provide advertising for the Event and Vendor shall provide Host with a logo or image for this use and purpose no later than 14 days after being accepted into the show. Host will use this logo or image for no purpose other than promotion of 2020 Event.

9. Cancellation PolicyVendor cancellations prior to May 1, 2020, will be refunded full booth fee or full deposit amount, whichever was paid. Vendor cancellations between May 1, 2020 and June 30, 2020, will be refunded 50% of booth fee or 50% of deposit amount, whichever was paid. No refunds of any kind for cancellations by Vendor will be made after July 1, 2020. If Vendor is removed from the Event at any time for non-payment, all deposits and payments made up to that point are forfeit. 

10. Host reserves the right to remove Vendor if violations of Event policies occur or if, in the discretion of Host, the Event will be detrimentally impacted by Vendor's continued participation. If vendor is removed from Event for any reason by Host there will be no refunds of payments made and no recompense made for Vendor expenses. 

11. Host reserves the right to cancel the Event and this Agreement in the circumstance of an unforeseen weather emergency (an “Act of God”) or upon cancellation of the rental agreement between Host and Venue. If the Event is cancelled by Host for the explicit reasons set forth in this paragraph, no refunds will be provided. If the Event is cancelled by Host for reasons other than those set forth in this paragraph, all fees paid will be refunded in full. 

12. COVID19: If the event is unable to occur due to complications arising from COVID19, vendors will be notified by May 1. Any vendor who has paid for their booth at that time will be refunded in full. Host assumes no responsibility for any associated expenses incurred by vendors -only for already paid booth fees. 

Section 2: Instructors

1. Instructor hereby agrees to indemnify Host and Venue and hold both harmless from any actual, punitive or consequential loss or damage whatsoever that the Instructor might incur by reason of its location upon the Venue property, attendance and/or participation in the Event, or any claim, damage, injury or issue arising out of Instructors’s attendance and/or participation in the Event, known or unknown at the time of execution of this Agreement.

2. Instructor acknowledges and agrees that neither Host nor Venue is providing any form of security for the Event beyond what is normally provided on the Venue grounds.

3. Instructor will be solely responsible for all costs associated with their participation in the Event and expects no renumeration other than that set forth in the Instructor payment schedule. Instructor acknowledges that where renumeration is based on attendance, no set dollar amount has been negotiated and no minimum payment or number of students has been promised. 

4. Instructor will be solely responsible for providing Host a list of items required for their presentation by deadlines set out in Instructor schedules. This includes any electronic presentations, equipment desired, consumable items needed, etc. Instructor is responsible for providing equipment outside of standard and customary items such as teapots, infuser baskets and electric kettles. Cost of specialty items for instructor’s presentation will be deducted from Instructor renumeration and shall become the property of the Instructor after the Event. Any items not requested by specified deadlines shall be the responsibility of the Instructor. Items procured for the Instructor by the Host after the deadline may incur an additional convenience charge to be subtracted from any renumeration due Instructor. Arrangements other than those above may be possible upon discretion of Host.

4. Host and Instructor agree that Host will provide advertising for the Event and Instructor shall provide Host with a logo or image for this use and purpose no later than 3 weeks following acceptance into show. Host will use this logo or image for no purpose other than promotion of 2020 Event. Further, Instructor agrees to use of their name and professional affiliations as well as any provided logo in conjunction with Event marketing. 

5. If Instructor is removed from the Event for any reason whether at their request or by Host, or if they do not perform the duties expected of them per their final Instructor agreement which will be delivered by email, they hereby forfeit any claim to renumeration of any kind. 

6. Host reserves the right to cancel the Event and this Agreement in the circumstance of an unforeseen weather emergency (an “Act of God”) or upon cancellation of the rental agreement between Host and Venue. If the Event is cancelled by Host for the explicit reasons set forth in this paragraph, no refunds will be provided. If the Event is cancelled by Host for reasons other than those set forth in this paragraph, upon discretion of Host, arrangements may be possible to partially cover non-refundable instructor expenses.

Application to be a vendor, instructor or sponsor at the 2020 Chicago International Tea Festival is not a guarantee of acceptance into the show. No verbal discussions or agreements with any festival staff are binding and should not be considered indicative of acceptance. 

Proceeding with any application will indicate acceptance of and agreement with all terms and conditions as set out above.
